Content meetings

On-going management

  • Meetings occur once per month unless otherwise negotiated.
  • Meetings are preferably held in person at your office / workplace, but can be via Zoom or over the phone.
  • Meeting channel, day and time is negotiated based on alignment of business schedules and the content calendar cycle.
  • Meetings should ideally be scheduled 1-2 weeks prior to the previous content calendar cycle ending and align with the content calendar cycle.

The monthly meeting is crucial in order for us to deliver our services as per the contract. Cancellation or rescheduling the agreed recurring meeting will impact service delivery.

Meeting purpose and expectations

  • Provide us with recent and / or upcoming events for content opportunities.
  • Inform us of any key business and / or team information that is relevant to your social audience.
  • Discuss ideas and / or problems that we could solve through social media marketing.
  • We’ll provide a status update on any social media projects we have underway for your business.
  • We’ll answer any social media questions you have and provide you with recommendations and advice.
  • Provide us with enough subject matter information for us to be able to populate a 4 week marketing calendar.
  • Come prepared and actively engage in the meeting.

If...

Then...

you can’t make the monthly meetingprovide an alternate meeting day and time that falls at least 4 business days before the content calendar cycle ends.
we have not been provided with an alternate meeting day and time at least 6 business days before the content calendar cycle endswe’ll send an email reminder requesting a meeting within 2 business days in order to develop a content calendar for the next cycle.
the content calendar content cycle is 4 days from ending and no time has been committed by you for the meeting

If we believe we WILL have enough content to develop a content calendar we will proceed to develop content calendar for the next cycle including placeholders where required.

OR

If we believe we WON’T have enough content to develop a content calendar we’ll send you a notification informing you that no posts will be scheduled for this cycle and to make sure you attend the next meeting to schedule posts for the next cycle.

 

Content calendars

Alterations to your content calendar

We accept up to one hour worth of edits to your content calendar per month, which includes the manual posting of videos and reels. If we exceed the allocated time, we will provide you with a price to make beyond scope alterations.

Review process: changes to content

We understand that sometimes you may want to make changes to certain posts in your review process. Providing concise, direct feedback allows us to make changes in the most effective and efficient way.

The best process is to click ‘request change’ and provide feedback per the below:

  • Re-write the caption (please note we will always check and amend if there are spelling or grammar problems.)
  • Provide your feedback and always provide an alternative or solution - we can’t amend messaging unless the feedback is clear as to why you feel it’s not working.

Approval process

  • We’ll send the review link 2 -7 days before your content calendar cycle starts.
  • You must approve all your content calendar at the latest 1 day before your content calendar cycle starts.
  • If you don’t approve your content 1 day before the content calendar cycle starts, all posting to social media channels will be paused.
  • We’ll send 2 reminders in the first week of your content calendar cycle requesting approval.
  • If you approve the content calendar anytime after the cycle has started we’ll un-pause and activate the content calendar within 1 business day.
  • The content calendar cycle will remain the same. Content that has pushed past the 4 week cycle, will be re scheduled into the next cycle to accommodate the delay and re align the cycle.

Missing information process

Content calendar placeholders

  • If we have a placeholder in the content calendar we’ll email you a reminder to provide the required info 3 days before the post is scheduled
  • If you don’t provide the missing info 1 business day before the post is scheduled we’ll upload a relevant / evergreen previous post
  • We’ll add the item to the next content meeting.

Ad hoc post requests

  • If you have requested an ad hoc post be pushed into the schedule but you haven’t provided adequate information we’ll email you once to chase the missing info.
    If you don’t provide the missing info we’ll add the item to the next content meeting.

 

Tone of voice

As your social media managers, we research and write copy how we see fit and will always tailor the messaging to fit your brand tone. However, should you wish to revise and add your personal touch to the caption we encourage our clients to do so by ‘requesting change’ the post and re-writing it in your own words.

Reporting


We provide reporting quarterly as this allows us to collect a more accurate data set. Whereas short-term reports are skewed by anomalies (such as random high and low engagement days), quarterly reports convey long-term trends and assist working towards your goals.

Content library

We set up a content library for each of our clients. This is a place where you can upload your photos and video content on the go so that your social media manager can ensure to include them in your next content calendar. We will show you how to set this up.

Additional


Posting to your feed

We schedule content for your page with thought and aesthetics in mind. We ask that if you do want something additional posted on your feed outside of the content calendar, that you contact us so we can schedule the post accordingly. Additional posts may push this cycle’s content into the next cycle. We encourage you to post to your stories for immediate publishing.

Reels

We understand that reels will form a portion of your posts. Reels take more time to produce and manage however, so as part of your subscription fee, the amount of reels we can produce is capped as per below.

  • 4 reels per month – Essentials Package
  • 8 reels per month – Growth Package

Additional charges

Any additional charges such as paid advertising, photography and videographer services will be added on top of your monthly direct debit charge. If the post quantity increases and becomes out of scope, additional charges may be incurred. Your social media manager will let you know.

Please note:

Over the Christmas period, post quantity may reduce and evergreen posts may be re posted at the social media manger’s discretion.
